Accounting Automations

Stop chasing receipts.

Bookkeeping doesn’t have to mean a shoebox of receipts and a Sunday-night panic. We automate expense capture, reconciliation, invoicing, and AR follow-up so the numbers stay current without you touching them.

Why this exists.

It’s the 8th of the month. Last month’s books aren’t closed. You have a stack of receipts in your truck console, a credit card statement you haven’t opened, and three customers who haven’t paid invoices from six weeks ago. The accountant is asking when you can send the books. You can’t, because you haven’t done them. You’re paying for QuickBooks and still doing every transaction by hand on Sunday nights.

Or you’ve hired a bookkeeper. Great. They still need you to forward every receipt, code every transaction, and chase down the customers who don’t pay. The cost is now $400/mo and you’re doing 60% of the work anyway. Meanwhile invoices go out late because nobody automated the recurring ones, and AR is sitting at 45 days because nobody is sending follow-up.

Accounting Automations is the workflow layer on top of your accounting stack — automated expense capture (receipt scanning to QuickBooks/Xero), bank and card reconciliation feeds, invoice generation with recurring billing, AR follow-up sequences, payment reminders, AP automation, and monthly-close workflows. The accountant gets clean books; you get your Sundays back.

What you get.

Every Accounting Automations engagement includes the following. Custom additions scoped on top if your operation needs them.

  • Receipt capture automation (photo → categorized transaction)
  • Bank + credit card reconciliation feeds
  • Invoice generation + recurring billing setup
  • AR follow-up sequences (gentle → firm → escalation)
  • Automated payment reminders (email + SMS)
  • AP / bill-pay automation workflow
  • Monthly-close checklist + reporting workflow
  • QuickBooks / Xero / Wave / FreshBooks integration
  • Dashboard view of cash position, AR aging, expense categories

Why us for Accounting Automations.

We run Accounting Automations (or its equivalent) inside our own business. That’s the standard.

We don’t sell systems we haven’t deployed. The Accounting Automations setup we use ourselves is what we ship to clients — same quality, same conventions, same handoff materials.

No lock-in.

Run it in your own GoHighLevel account and you own the build outright. Prefer that we host and manage it? It runs on our platform — and either way, your contacts and pipeline data are always yours to export. No lock-in, no hostage situation.

Honest pricing.

Starting at $300 + $100/mo. Quoted to your specifics. We don’t force a higher tier when a lower one fits, and we don’t undercut the quote and then come back for change orders.

“They built a system for us that runs whether we’re paying attention or not. Leads get answered, appointments get booked, reviews come in. We stopped losing the ones we used to lose.”

Questions about Accounting Automations.

Do you replace my accountant or bookkeeper?

No. We replace the manual work between you and them. Your accountant still closes the books and files taxes. We make sure the data feeding into them is clean, current, and categorized — so they bill less and you spend zero Sundays on receipts.

Which accounting platforms do you support?

QuickBooks Online, Xero, Wave, and FreshBooks are the common ones. If you’re on something else, we’ll confirm during discovery — most modern accounting platforms have the API hooks we need.

What about sales tax?

Sales tax automation can be layered in (Avalara, TaxJar, or native platform features). It’s usually a separate scope because the rules vary so much by state and product type — we’ll quote it specifically if you need it.

Can the AR follow-up sequence be customized for different customer types?

Yes. Wholesale customers on 30-day terms get a different cadence than retail customers expected to pay on receipt. We build the segmentation into the workflow so the right customer gets the right reminder.
